Overview

CoordinatesICS operations at a national level, responsible for the recruitment and training of national volunteers, as well as the volunteer alumni network. Manages pool of volunteer selectors and trainers. Provides cover for Project Officers in the community when necessary.

Responsibilities

Programme and project coordination

  • Responsible the planning and logistics for all aspects of ICS recruitment, training and placement of volunteers.
  • Responsible for the sourcing of visas for all international ICS volunteers.
  • Manage the voluntary workforce of selectors and trainers.
  • Accountable for the data quality of the ICS database.

Alumni network coordination

  • Coordinate alumni communications and activities

Financial management

  • Ensure accurate costs are sourced for budgeting of ICS recruitment, training, placement and alumni work.
  • Work with finance colleagues to effectively manage expenditure against budget.

Duty of care

  • Ensure venues and transportation are risk assessed.
  • Deputise fortheICS Programme Manager in maintaining duty of care for all ICS programme stakeholders (including volunteers, staff and community members) in line with VSO ICS policy.
  • When deputising, or when related to selection, training and alumni events, report and manage critical, crisis and monitored incidents involving ICS in close collaboration with country and global colleague.

CS youth volunteer management and support

  • Provide cover for ICS Project Officers where necessary

  • Any other reasonable duties commensurate with the post

Requirements and qualifications

Experience

None

Additional experience

Coordination and logistics

  • Experience of recruitment, onboarding and induction of volunteers.
  • Sound knowledge of visa requirements.
  • Experience of managing complex logistics for multiple events including travel and venues.
  • Experience of prioritising a complex workload.

Project management

  • Proven experience in delivering and reporting on complex projects to time and budget.

Duty of care

  • Experience of assessing potential safeguarding, security and health risks and putting in place mitigating actions.

Youth work

  • Experience of working with young people from diverse backgrounds.

Cross-cultural working

  • Direct experience of working with other cultures and nationalities.

Communication

  • Experience of communicating effectively with a wide range of stakeholders.
  • Strong verbal and written English language skills.

Out of hours working

  • When providing cover for Project Officers, the post holder will be required to hold the emergency phone outside of normal working hours, and to be on rota for emergency phone when based at country office.
