Job description

Position Summary

We are seeking a reliable and detail-oriented Accountant to manage the practice’s day-to-day financial operations

and ensure accurate, timely, and compliant financial reporting.

The Accountant will be responsible for the end-to-end accounting function, including bookkeeping, accounts

payable and receivable, payroll support, cash and bank reconciliations, financial reporting, budgeting, cash-flow

monitoring, and statutory compliance.

The ideal candidate will be hands-on, organized, trustworthy, and comfortable working independently in a small

healthcare practice where accuracy, confidentiality, and attention to detail are essential.

  1. End-to-End Accounting
  • Maintain complete and accurate accounting records for the dental practice.
  • Record and classify all financial transactions in the accounting system.
  • Manage the general ledger and ensure transactions are posted to the appropriate accounts.
  • Perform monthly and year-end accounting close processes.
  • Prepare and maintain supporting schedules and reconciliations.
  • Ensure financial records are complete, accurate, and properly documented.
  1. Accounts Receivable & Revenue
  • Monitor daily practice collections and ensure all patient payments are accurately recorded.
  • Reconcile cash, card, mobile money, bank, insurance, and other payment channels.
  • Monitor outstanding patient and insurance receivables.
  • Follow up on overdue accounts and support timely collection of outstanding balances.
  • Reconcile revenue recorded in the practice management system with the accounting records.
  • Investigate and resolve discrepancies between patient billing, collections, and accounting records.
  1. Accounts Payable & Expenses
  • Process supplier invoices and ensure expenses are properly authorized, recorded, and supported.
  • Maintain an up-to-date accounts payable schedule.
  • Prepare supplier payment schedules and support timely payments.
  • Reconcile supplier statements and resolve discrepancies.
  • Ensure practice expenses are appropriately coded and allocated.
  1. Bank & Cash Management
  • Perform regular bank reconciliations.
  • Reconcile petty cash and other cash accounts.
  • Monitor daily cash balances and identify unusual or unexplained transactions.
  • Assist management with cash-flow planning and forecasting.
  • Maintain appropriate documentation for all cash and banking transactions.
  1. Payroll & Staff-Related Accounting
  • Prepare or support monthly payroll processing.
  • Maintain accurate payroll records and reconcile payroll-related accounts.
  • Ensure payroll deductions and statutory remittances are accurately calculated and submitted on time.
  • Maintain records relating to employee benefits, advances, loans, and other staff-related payments as applicable.
  1. Financial Reporting
  • Prepare accurate and timely monthly management accounts.
  • Produce reports including profit and loss statements, balance sheet, cash-flow reports, accounts receivable and

payable ageing, revenue and expense analysis, and budget-versus-actual reports.

  • Provide management with financial insights and explanations of significant variances.
  • Assist with annual financial statements and year-end reporting.
  • Maintain appropriate financial records and supporting documentation for audit purposes.
  1. Statutory & Regulatory Compliance
  • Ensure the practice meets all applicable accounting, tax, payroll, and statutory reporting requirements.
  • Prepare and submit statutory returns and payments accurately and within required deadlines.
  • Maintain accurate records supporting all statutory filings.
  • Monitor changes in relevant tax and accounting regulations and advise management of material changes.
  • Liaise with external accountants, auditors, tax advisers, and relevant authorities where required.
  • Assist with statutory and external audits and ensure audit queries are addressed promptly.
  1. Budgeting & Financial Controls
  • Assist management in preparing annual budgets and financial forecasts.
  • Monitor actual performance against budget and highlight significant variances.
  • Recommend improvements to financial processes and internal controls.
  • Help ensure proper authorization and segregation of financial duties.
  • Identify financial risks, control weaknesses, and opportunities to reduce unnecessary costs.
  1. Practice Administration & Support
  • Work closely with the Practice Manager and practice owner on financial and administrative matters.
  • Provide financial information to support business and operational decisions.
  • Maintain confidentiality of patient, employee, supplier, and financial information.
  • Support implementation and improvement of accounting and practice-management systems.
  • Undertake other finance-related duties reasonably required by management.

Key Performance Indicators

  • Accuracy and completeness of accounting records.
  • Timely completion of monthly financial close and management reports.
  • Timely and accurate submission of statutory returns and payments.
  • Accurate reconciliation of bank, cash, patient, insurance, and supplier accounts.
  • Effective management of receivables and payables.
  • Compliance with internal financial controls and policies.
  • Timely identification and resolution of financial discrepancies.
  • Quality and reliability of financial information provided to management.

Requirements and qualifications

CPA (K) qualification and ICPAK membership in good standing.

  • At least 5 years of relevant accounting experience, preferably in a small or medium-sized organization.
  • Experience managing accounting activities from transaction processing through to financial reporting.
  • Experience with statutory tax and payroll compliance.
  • Experience with accounting software and Microsoft Excel.
  • Healthcare or other service-business experience is an advantage.
